I replaced a 6–8 hour/week manual admin process with an automated system

I recently finished a system for a client that solved a problem that was surprisingly manual. They had around 20 outreach workers. Every time a worker completed something, they would email proof of their work to the admins. Two admins were then responsible for: opening and reviewing submissions checking whether the submission was valid finding duplicate submissions approving/rejecting work identifying potentially valuable leads tracking worker performance managing payouts This was taking roughly 6–8 hours every week. What I built I replaced the email-based process with a central system. 1. Worker portal Workers can submit their proof of work through a mobile-friendly portal instead of emailing everything. 2. Automated processing After submission, the system validates the data, checks for duplicates, and routes anything that needs human attention to the admins. 3. Admin dashboard The admins can see submissions, approvals, rejections, workers, hot leads, performance and payouts from one place. The result The manual review process went from roughly: 6–8 hours/week → ~30 minutes/week The important part for me wasn't really the AI. It was figuring out which parts of the process actually needed automation and which parts should still be handled by a human. I built the system end-to-end: requirements, architecture, development, AI integration, CRM integration, testing, deployment and improvements. I'm sharing this because I'm trying to get better at building systems around real business processes, rather than just building another AI chatbot.
